Selling to Amazon as a 1P vendor is a different job from selling on Amazon as a 3P seller. Amazon buys your stock through purchase orders, sets the retail price and pays your invoices, minus whatever it deducts. The money you lose leaks out through chargebacks, shortage claims and allowances spread across hundreds of POs.
These prompts cover the four places where Vendor Central work piles up: Retail Analytics, purchase orders and forecasts, Operational Performance chargebacks, and shortage claims. Each names the report, the columns to paste and the rules to follow.
Export the report as CSV, paste it under the prompt in ChatGPT or Claude, and fill in every bracketed placeholder. Anything the model drafts, from a dispute to a PO response, is a draft. You review it and you submit it.
1P vs 3P: what changes in your numbers
A model that does not know you are a vendor will give you 3P advice. Paste this context when it matters.
Prompt 1 · 1P vs 3P: what changes in your numbersChatGPT Claude
Act as an Amazon channel strategist who has run both 1P and 3P accounts. I am a vendor considering a hybrid model. Here is one row per ASIN with my unit cost, Shipped COGS per unit, Amazon's average retail price, units shipped in the last 12 weeks, chargebacks and shortages per unit, and whether the item is fragile, oversized or slow-moving: [paste your ASIN table]. Estimate my unit margin on 1P, then on 3P using these fee assumptions, which I will replace with current Seller Central fees: [paste fee assumptions]. Recommend keep 1P, test 3P or move to 3P per ASIN, with one line of reasoning, and flag likely price conflicts with Amazon's retail offer. Output a table.
Tip: Fees change often; check Seller Central Help before trusting any 3P estimate.
Retail Analytics: sales, traffic, inventory and Net PPM
Retail Analytics holds the Sales, Traffic, Inventory, Net PPM and Forecasting dashboards; some are shown only to manufacturers. Sales and Inventory come in a Manufacturing view (ASINs you make, whoever sourced them to Amazon) and a Sourcing view (ASINs you shipped to Amazon yourself). Name the view in every prompt, because mixing them double counts.
Prompt 2 · Retail Analytics: sales, traffic, inventory and Net PPMChatGPT Claude
Act as a senior Amazon vendor manager preparing a weekly review. Here is my Retail Analytics Sales report, [Manufacturing or Sourcing] view, by ASIN for 8 weeks, with Ordered Revenue, Ordered Units, Shipped Revenue, Shipped COGS, Shipped Units and Customer Returns, plus Glance Views from the Traffic report: [paste joined export]. For each ASIN and week calculate conversion (Ordered Units divided by Glance Views), average selling price (Shipped Revenue divided by Shipped Units) and return rate. Rank the ten ASINs with the largest drop in Shipped COGS versus their prior 4-week average and say whether traffic, conversion, price or availability caused it. Output one table and three bullet points.
Why: Shipped COGS is what Amazon owes you for goods it shipped, so it ties to your revenue. Ordered Revenue is Amazon's retail sales and can move without your invoices moving.
Prompt 3 · Retail Analytics: sales, traffic, inventory and Net PPMChatGPT Claude
Act as an Amazon supply chain analyst. Here are weekly Ordered Units and Shipped Units by ASIN from the Sales report, with Sellable On Hand Inventory Units and Open Purchase Order Quantity from the Inventory report: [paste data]. Find ASINs where Ordered Units exceed Shipped Units by more than [15]% for two weeks in a row. Diagnose with these rules: low sellable on hand plus open POs means inbound delay; low on hand and no open POs means Amazon is not ordering; healthy on hand means a lag to recheck next week. Output ASIN, weeks affected, unit gap, likely cause and next step.
Prompt 4 · Retail Analytics: sales, traffic, inventory and Net PPMChatGPT Claude
Act as an Amazon vendor inventory planner. Here is my Inventory report by ASIN for 4 weeks with Sellable On Hand Inventory Units, Unsellable On Hand Inventory Units, Open Purchase Order Quantity, Unfilled Customer Ordered Units, Sell-Through Rate, Procurable Product OOS, Receive Fill Rate, Vendor Confirmation Rate and Aged 90+ Days Sellable Inventory: [paste export]. Group ASINs into out-of-stock risk, overstock risk, confirmation problem (Vendor Confirmation Rate below [90]%) and healthy. Give one action per group for this week. Treat any ASIN with Unfilled Customer Ordered Units above zero as urgent.
Prompt 5 · Retail Analytics: sales, traffic, inventory and Net PPMChatGPT Claude
Act as a 1P profitability analyst. Here is my Net PPM report by ASIN for [3] months, with Shipped Revenue and Shipped COGS for the same ASINs: [paste export]. Identify ASINs with negative or falling Net PPM. For each, explain what most likely pulls it down (low retail price, high cost to Amazon, heavy discounting) and what Amazon may do next, such as ordering less. Suggest what I could raise with Amazon or change, such as cost price, case pack or funding. Show my own margin impact before suggesting any cost price cut.
Why: Net PPM is Amazon's view of what it earns on your product after your cost price, vendor funding and discounts. Low Net PPM ASINs tend to get ordered less.
Purchase orders and forecasts
The Forecasting report gives weekly demand by ASIN as a mean forecast plus P70, P80 and P90 forecasts. P90 is the high case: Amazon expects demand at or below it 90% of the time. Use it to plan production before POs arrive.
Act as a demand planner for a 1P vendor. Here is my Forecasting report for the next [12] weeks by ASIN with Mean, P70, P80 and P90 forecast units: [paste export]. Here is my weekly capacity and lead time per ASIN: [paste capacity table]. Choose a planning level per ASIN with these rules: P80 for top sellers with short lead times, Mean for slow movers or ASINs with Aged 90+ inventory at Amazon, P90 only where a stock-out would cost a seasonal peak. Show weeks where planned demand exceeds capacity and the unit shortfall.
Act as a vendor operations lead. Here are new PO lines with PO number, ASIN, quantity, ship window and fulfillment center: [paste PO lines]. Here is my available stock and earliest ship date per ASIN: [paste stock table]. For each line recommend accept, accept a lower quantity or reject, and which reason to select (check the current reason list in my account). Rules: never accept units I cannot ship inside the window; prefer a partial accept when I have at least [50]% of the quantity; flag lines that would hurt my Vendor Confirmation Rate. Output a table I can follow line by line.
Tip: Confirming units you then cannot ship is usually worse than declining them, because it can lead to PO chargebacks. Review every line before you submit.
Chargebacks and Operational Performance
Chargebacks are fees for shipments that break vendor requirements. You view and dispute them on the Operational Performance page under Reports. The dozens of subtypes fall into six groups:
Group
Typical trigger
Evidence that helps
Purchase Orders
Outside the ship window, unconfirmed units
PO confirmation, carrier appointment
ASN
Missing, late or inaccurate ASN
ASN timestamp, packing list
Preparation
Wrong prep or labeling
Prep photos, label proofs
Packaging
Overweight or oversized cartons
Carton weights and dimensions
Transportation
Routing request or carrier issues
Routing request ID, BOL
Receive Process
Problems found at receiving
Loading photos, proof of delivery
At the time of writing, vendors generally have 30 days from the notification to dispute and one more attempt after a rejection. Amazon changes these rules, so confirm the window in Vendor Central Help.
Prompt 8 · Chargebacks and Operational PerformanceChatGPT Claude
Act as a 1P compliance analyst. Here is my Operational Performance chargeback export for [90] days with chargeback ID, issue type, subtype, PO, ASIN, fulfillment center, date, amount and status: [paste export]. Build a Pareto table by subtype with count, amount and share of total. Break the top three subtypes down by fulfillment center and week to show whether the problem is one site, one week or everywhere. End with the three process fixes that remove the most dollars, each with the team that owns it.
Prompt 9 · Chargebacks and Operational PerformanceChatGPT Claude
Act as an Amazon vendor dispute specialist. I want to dispute chargeback [ID], subtype [subtype], amount [amount], on PO [PO number]. My evidence: [describe PO confirmation, ASN timestamp, BOL, tracking, photos]. First tell me honestly whether the evidence supports a dispute or the chargeback looks valid. If it supports one, write a factual message under 150 words: what was charged, why it is wrong, which document proves it and the reversal requested. List any document I should attach that I have not mentioned.
Tip: You get limited attempts per chargeback. Use the first one with your best evidence attached.
Shortage claims and invoice deductions
A shortage claim is a deduction Amazon takes when it records receiving fewer units than you invoiced. It typically appears as your invoice number with an SCR suffix, so you can trace it on remittances. You submit proof of delivery and open disputes from the Payments area. Amazon has tightened shortage rules, including limits on invoice age, so check current timelines in Vendor Central Help and work shortages weekly.
Prompt 10 · Shortage claims and invoice deductionsChatGPT Claude
Act as an accounts receivable analyst who specializes in Amazon 1P deductions. Here is my invoice and remittance data for [60] days with invoice number, PO, due date, invoiced units, invoiced amount, paid amount and deduction lines, including SCR invoices: [paste export]. Here are my shipment records with PO, units shipped, cartons, carrier, BOL number and whether I have proof of delivery: [paste shipments]. Match deductions to shipments and output a table with invoice, units short, amount, days since due date, evidence available and priority. Put claims with full proof of delivery and the oldest due dates first.
Prompt 11 · Shortage claims and invoice deductionsChatGPT Claude
Act as an Amazon vendor dispute specialist. Draft a shortage dispute for invoice [number], PO [number], [units] units short, value [amount]. Evidence: [BOL, carrier, signed proof of delivery with carton count, ASN carton count, packing list]. State units invoiced, units Amazon says it received, units proven delivered and the document that proves it. If the carton counts on the proof of delivery and the ASN disagree, tell me before drafting, because that weakens the case. Under 150 words.
Prompt 12 · Shortage claims and invoice deductionsChatGPT Claude
Act as a root cause investigator for 1P shortages. Here is my shortage history for [6] months with PO, fulfillment center, carrier, cartons, units per carton, ASN accuracy and claim amount: [paste history]. Find the fulfillment centers, carriers or carton setups, such as mixed-SKU cartons, that produce the most shortage dollars per unit shipped. Separate claims I can dispute from losses I cause myself, such as ASN errors. Output the top three patterns with dollars at stake and one fix each.
Why: A dispute recovers money once; fixing the pattern stops the next hundred claims.
Ads, Brand Analytics and the hybrid view
Vendors can run Sponsored Products, Sponsored Brands and Sponsored Display, and brand owners get Brand Analytics, so our Search Query Performance prompts apply to vendors too. The catch: spend, retail results and any 3P sales live in three different places.
Prompt 13 · Ads, Brand Analytics and the hybrid viewChatGPT Claude
Act as an Amazon advertising analyst for a 1P brand. Here is my Amazon Ads report for [8] weeks by ASIN with spend, sales and orders: [paste ads export], and my Retail Analytics Sales report for the same weeks with Ordered Revenue and Shipped COGS: [paste sales export]. Calculate ad spend as a share of Ordered Revenue and of Shipped COGS per ASIN and week. Flag ASINs where spend rose while Ordered Revenue stayed flat, and ASINs with weak Net PPM where heavy spend may not pay. Recommend increase, hold or cut with one line each. I will review every change before applying it.
Joining these exports by hand each week is where most vendor reporting stalls. DataDoe connects Vendor Central, Seller Central and Amazon Ads to Claude, ChatGPT and other AI clients through MCP, in one joined schema refreshed daily, so you can run this section's prompts without pasting each report.
Prompt 14 · Ads, Brand Analytics and the hybrid viewChatGPT Claude
Act as the head of Amazon for a brand selling both 1P and 3P. Write a one-page weekly business review from this data: Retail Analytics Sales and Inventory highlights [paste], chargebacks and shortages [paste], ads spend and sales [paste], and Seller Central sales if any [paste]. Structure: headline numbers versus last week and last year, three wins, three problems with dollar impact, and decisions needed from leadership. Do not invent numbers; write "not provided" where data is missing.
FAQ
What is Amazon Vendor Central?
Vendor Central is the portal for first-party (1P) suppliers who sell their products to Amazon at wholesale. Amazon issues purchase orders, sets the retail price and pays invoices. Access is by invitation.
What is the difference between Amazon 1P and 3P?
In 1P you sell to Amazon through Vendor Central and Amazon sells to the shopper; in 3P you sell to shoppers through Seller Central and set your own price.
How long do I have to dispute a Vendor Central chargeback?
At the time of writing, vendors generally have 30 days from the chargeback notification, with one more attempt after a rejection. Amazon changes these rules, so confirm the current window in Vendor Central Help.
What is a shortage claim on Amazon Vendor Central?
A shortage claim is a deduction Amazon takes when it records receiving fewer units than you invoiced. You dispute it with proof of delivery and shipment documents, and early disputes tend to do better.
What is Net PPM in Vendor Central?
Net PPM (net pure product margin) is Amazon's measure of what it earns on your product after your cost price, vendor funding and discounts. ASINs with low or negative Net PPM are more likely to get smaller orders.
Can I use ChatGPT or Claude with Vendor Central data?
Yes. Export Retail Analytics, Operational Performance or invoice reports as CSV and paste them under a specific prompt, or connect your accounts to an AI client through a data connector. Review anything it drafts before acting.
