Amazon Plan of Action: AI Prompts to Write an Appeal Without Making It Worse

By Sophie Brooks12 min read15 prompts

An Account Health notice arrives, a listing or the whole account is deactivated, and the clock starts. This is the moment many sellers make things worse: they paste the notice into ChatGPT, ask for an appeal, and submit a polished letter full of apologies, vague promises and claims they cannot prove. Those get rejected, and each rejection makes the next attempt harder.

These 15 prompts use AI for what it is good at in an appeal: decoding the notice, organizing evidence, pressure-testing the root cause and cutting the draft down to facts. You decide what is true and what gets sent. Work through the sections in order, one chat per case, with your real data in the brackets.

Before you paste anything, remove buyer names, addresses, phone numbers and emails. Amazon restricts how you use customer data, and order IDs are enough to reference a case.

What Amazon expects in a plan of action

A plan of action (POA) answers three questions: what caused the problem, what you have already done to fix it, and what you changed so it does not happen again. Amazon's appeal flow asks for exactly that, plus the documents the notice requests. Some violation types use a guided form with separate fields; the logic is the same. You submit from the Account Health page in Seller Central (Performance > Account Health), usually through the Appeal or Reactivate button next to the issue.

PartWhat it must containWhat gets it rejected
Root causeThe specific failure in your process, tied to the ASINs, orders or dates in the noticeBlaming Amazon, the buyer or a vague mistake; a cause that does not match the violation
Actions takenCompleted steps, in the past tense, with dates and proofPromises, future tense, actions unrelated to the root cause
Preventive measuresProcess changes with an owner, a frequency and a triggerWe will be more careful, we will monitor closely
EvidenceExactly the documents the notice asks for, unedited and legibleEdited invoices, screenshots in place of documents, files nobody asked for

Not every notice needs a full POA. A listing flagged for a missing attribute is often fixed by editing it. An intellectual property complaint usually has its own routes: a retraction from the rights owner, proof that you are authorized to sell, or evidence that the complaint is invalid. Your Account Health Rating runs from 0 to 1,000; Amazon shows 200 and above as healthy and below 100 as at risk of deactivation. Check the Account Health page for how each open issue affects it.

Read the notice before you write anything

Prompt 1 · Read the notice before you write anythingChatGPT Claude
Act as an Amazon Account Health specialist. Here is the full notice I received, copied from the Account Health page and the email: [paste the notice text, buyer details removed]. Extract into a table: the policy named, the ASINs, SKUs or order IDs mentioned, what Amazon says happened, what Amazon explicitly asks me to provide, the deadline if one is stated, and whether it affects one listing or the whole account. Then list every sentence in the notice that is ambiguous. Do not draft an appeal yet, and do not fill in facts the notice does not state.

Why: Many rejected appeals answer a different question than the one Amazon asked.

Prompt 2 · Read the notice before you write anythingChatGPT Claude
Act as an Amazon seller compliance consultant. Based on this notice summary [paste the table from Prompt 1], tell me which response route fits: edit and resubmit the listing, ask the rights owner for a retraction, provide documents only, write a full plan of action, or show that the notice was issued in error. For each, state the evidence it needs and the risk of picking it wrongly. Recommend one and name the fact that would change your mind.
Prompt 3 · Read the notice before you write anythingChatGPT Claude
Act as a forensic operations analyst. Build a dated timeline of what happened from these sources: [paste the relevant rows from the All Orders report or order detail pages: order ID, purchase date, SKU, ship date, carrier, tracking], [paste buyer messages with personal details removed], [paste supplier or 3PL emails], [paste the dates of each Amazon notice]. Format each row as date, event, source, what it proves. Flag gaps where I have no record and the document that would fill each.

Find the real root cause

This is where AI helps most and is most dangerous: a model will happily write a plausible root cause that never happened. Give it facts, make it question you, and accept only a cause your records back.

Prompt 4 · Find the real root causeChatGPT Claude
Act as a root cause analyst who has reviewed hundreds of Amazon appeals. Using this timeline [paste timeline] and this notice summary [paste summary], run a five whys analysis. Stop at the deepest cause that is within my control and that I can prove with the documents I have. If the evidence supports more than one cause, list each with its evidence. Ask me up to five questions whose answers would change the conclusion, and wait for my answers before writing a final root cause.

Tip: Answer those questions honestly. If the real cause is that nobody on the team checked something, say that.

Prompt 5 · Find the real root causeChatGPT Claude
Act as an Amazon seller performance analyst. My account was flagged for [order defect rate / late shipment rate / pre-fulfillment cancel rate / valid tracking rate]. Here are the affected orders from the Account Health page drill-down: [paste rows: order ID, date, defect type, SKU, fulfillment channel, carrier]. Group the defects by SKU, carrier, ship-from location, day of week and fulfillment channel, and show which group explains most of them. Then state the operational cause in one or two sentences and list the data that confirms it. Leave FBA orders out of a root cause about my own shipping.

Why: Amazon's long-standing targets are order defect rate under 1%, late shipment rate under 4%, pre-fulfillment cancel rate under 2.5% and valid tracking rate above 95%. Confirm the current targets on your Account Health page. If returns or negative feedback drive your defects, our returns and refunds prompts help with the underlying problem.

Prompt 6 · Find the real root causeChatGPT Claude
Act as a supply chain auditor preparing an Amazon authenticity or condition review. For ASIN [ASIN], here are the complaints [paste complaint text from the Voice of the Customer page or buyer messages, personal details removed], my supplier details [supplier name, manufacturer or distributor], and my purchase records [paste invoice dates, quantities and product descriptions]. Tell me whether my invoices cover the units sold in the period, whether the complaints point to counterfeit, used sold as new, wrong item or a listing mismatch, and which of those my records can rule out. List the documents Amazon typically requests for this type of case and what I am missing.

Tip: Never alter, recreate or tidy up an invoice, and never ask AI to. Submit documents exactly as your supplier issued them.

Document the corrective actions you already took

Corrective actions are things already done: past tense, dated, each tied to the root cause. If something is not done yet, do it before you submit instead of promising it.

Prompt 7 · Document the corrective actions you already tookChatGPT Claude
Act as an Amazon appeal reviewer. Here is my root cause [paste root cause] and everything I have done since the notice [paste your notes]. Keep only the actions that directly address this root cause. Rewrite each as one past-tense sentence with the date and the evidence that proves it, for example: On [date] we removed [number] units of [SKU] from FBA inventory, removal order ID [ID]. Move anything still planned into a separate list titled Not done yet, and tell me which of those I should finish before submitting.
Prompt 8 · Document the corrective actions you already tookChatGPT Claude
Act as a customer remediation specialist. For the affected orders [paste order IDs, issue type and what each buyer received], recommend an action for each: refund, replacement, a message through Buyer-Seller Messaging, or nothing. Follow Amazon's communication rules: no requests for reviews or feedback, no links or contact details for off-Amazon channels. Output a table with order ID, action, status and proof to attach, and draft a short, neutral message where one is needed.

Tip: For buyer messages that do not need an appeal attached, our customer support prompts cover tone and templates.

Write preventive measures Amazon can verify

Preventive measures fail when they are intentions. A good measure names an owner, a frequency, a check and the threshold that triggers action. The examples below are illustrations, not text to copy.

WeakSpecific
We will be more careful with listingsEvery new or edited listing is checked against the category style guide by a second person before it goes live, and the check is logged
We will monitor account healthThe operations lead reviews the Account Health page every Monday and Thursday; any metric close to Amazon's target opens a ticket the same day
We will only use trusted suppliersNew suppliers provide business registration and a sample invoice before the first order; first deliveries are inspected against the manufacturer's spec sheet
Prompt 9 · Write preventive measures Amazon can verifyChatGPT Claude
Act as an operations manager for an Amazon brand. My root cause is [paste root cause] and my completed corrective actions are [paste list]. Write three to five preventive measures. Each must name the role responsible, what they check, how often, the report or tool used, and the threshold or event that triggers action. Reject any measure a team of [team size] could not realistically keep up. Mark which measures I can prove with an attachment, such as an SOP or a training record.
Prompt 10 · Write preventive measures Amazon can verifyChatGPT Claude
Act as an SOP writer. Turn this preventive measure [paste one measure] into a one-page standard operating procedure: purpose, owner, trigger, steps, records kept, and what happens when a check fails. Keep it under 300 words and plain enough for a new hire. I will attach it to my appeal.

Tip: Attach only procedures your team actually follows. If the issue involved product claims or warranty wording on the listing, our warranty policy prompts help you rewrite that text so it stays compliant.

Draft, tighten and stress-test the appeal

Prompt 11 · Draft, tighten and stress-test the appealChatGPT Claude
Act as an experienced Amazon appeal writer. Assemble a plan of action from these approved parts only: root cause [paste], corrective actions [paste], preventive measures [paste], attachments [list file names and what each proves]. Rules: bullet points under three headings, past tense for actions, at most one sentence of apology, no blaming Amazon, buyers, competitors or suppliers, no legal threats, nothing that is not in the material I gave you, and under [word limit, for example 500] words. If the appeal form has separate fields, give me the text for each field separately.

Why: Read every line of the draft before it goes anywhere. Amazon holds you to what you wrote, and anything you cannot prove is a liability.

Prompt 12 · Draft, tighten and stress-test the appealChatGPT Claude
Act as a skeptical Amazon Account Health investigator. Review this plan of action [paste draft] against this notice [paste notice]. Score root cause, actions taken and preventive measures from 1 to 5 for specificity and proof. Quote every sentence that is vague, written in the future tense in the actions section, unprovable, or that admits to something more serious than the notice alleges. Tell me what you would ask for if you rejected it. Do not rewrite it; list the problems.

Tip: Run this in a fresh chat; a model that just wrote the draft is a poor judge of it.

Prompt 13 · Draft, tighten and stress-test the appealChatGPT Claude
Act as an Amazon appeals consultant. My previous appeal was rejected. Here is what I sent [paste previous appeal] and Amazon's reply [paste the rejection text]. Explain what the reply is actually asking for, compare it with what I submitted, and list the specific facts or documents that were missing. Then tell me whether I have enough new information to resubmit now or what I need to gather first. Do not simply reword the old appeal.

Tip: A resubmission should add something new: a document, a clearer cause, a completed action. The same appeal in different words rarely changes the outcome.

After you submit

Once approved, the preventive measures you described are commitments, and a repeat issue is harder to appeal. For serious allegations, such as counterfeit claims, related accounts or funds on hold, consider getting a specialist or an attorney to review the plan before you send it.

Prompt 14 · After you submitChatGPT Claude
Act as an account health manager. Here is my submitted plan of action [paste] and my current Account Health page metrics [paste metric names and values]. Build a 30-day checklist that proves the preventive measures are running: what to check, when, and what to record. Add the signals, such as a new notice under the same policy, that should make me contact Account Health Support from the Account Health page.
Prompt 15 · After you submitChatGPT Claude
Act as an Amazon compliance lead. Here are the last 12 months of notices and warnings on my account [paste titles, dates, ASINs and outcomes]. Group them by policy and root cause, flag repeat patterns, name the ASINs or processes most likely to cause the next violation, and recommend the three checks that would have prevented most of them.

FAQ

What should an Amazon plan of action include?

Three parts: the root cause of the issue, the corrective actions you have already completed, and the preventive measures you put in place, plus any documents the notice asks for.

Can I use ChatGPT or Claude to write an Amazon appeal?

Yes, for structuring facts, finding gaps and tightening the draft, but not for inventing a root cause or actions you have not taken. Remove buyer data before pasting and read every line before you submit.

How long should an Amazon plan of action be?

Long enough to cover the three parts with facts and no longer; many strong appeals fit on one page of bullet points. Some guided appeal forms have their own field limits, so check the form before you write.

What do I do if my plan of action is rejected?

Read the rejection for what is missing, gather the facts or documents it points to, and resubmit with something new added.

Should I admit fault in my plan of action?

Take responsibility for what your records show went wrong. Do not admit to something more serious than the notice alleges, such as selling counterfeits, when your records do not support it.
